Trial Balance is the bridge between Ledger and Final Accounts. Learn what it is, why it is prepared, its features and objectives, and how to prepare it using both the Balance Method and Total Method — with a fully worked example. Essential for CBSE boards and CUET.
The Accounting Cycle: Journal → Ledger → Trial Balance → Final Accounts
After every transaction is journalised and posted to the Ledger, we balance each Ledger account. Trial Balance is a summary of all Ledger balances compiled at one place. It is the last step before preparing Final Accounts (Trading Account, Profit & Loss Account, Balance Sheet).
1. Meaning of Trial Balance
A Trial Balance is a statement prepared at the end of an accounting period that lists the debit and credit balances of all Ledger accounts (including Cash Book) in two separate columns. If double entry has been correctly applied throughout, the total of the Debit column will always equal the total of the Credit column.
2. Features of Trial Balance
Not a Part of Double Entry
Trial Balance is a memorandum statement, not a Ledger account. It is prepared outside the books of account just to check arithmetic accuracy.
Prepared at a Specific Date
It is prepared on a particular date — usually at the end of the accounting period (monthly, quarterly, or annually).
Lists ALL Ledger Accounts
Every Ledger account balance — assets, liabilities, capital, income, expenses — must appear in the Trial Balance without exception.
Dr. Total = Cr. Total (if correct)
Based on the principle that every debit has an equal credit. If the two columns agree, the books are arithmetically correct (though not necessarily free of all errors).
Prepared from Ledger Balances
Balances are taken directly from individual Ledger accounts after they are balanced. The Cash Book Bank column balance also appears here.
Starting Point for Final Accounts
Final Accounts (Trading A/c, P&L A/c, Balance Sheet) are prepared using balances from the Trial Balance. A correct TB makes Final Accounts reliable.
3. Objectives of Trial Balance
Check Arithmetic Accuracy
Confirms that total debits = total credits across all accounts. Any disagreement signals a posting or calculation error.
Locate Errors
When Dr. and Cr. totals do not agree, it helps locate the type and location of the error — wrong totalling, wrong posting, or omission.
Basis for Final Accounts
Provides a consolidated list of all account balances needed to prepare Trading Account, P&L Account, and Balance Sheet.
Summary of Financial Position
Gives a bird's-eye view of all account balances — what the business owns (assets), owes (liabilities), has earned (income), and spent (expenses).

3. Error of Principle — capital vs revenue misclassification
4. Compensating Errors — two errors that cancel each other out
These errors keep Dr. = Cr. totals intact, so TB still agrees despite errors.

5. Methods of Preparing Trial Balance
There are two main methods of preparing a Trial Balance:
Only the closing balance of each Ledger account (after balancing) is entered in the Trial Balance. Dr. balance → Dr. column. Cr. balance → Cr. column. This is the method used in practice and examined in CBSE boards.
The total of the Dr. side and total of the Cr. side of each Ledger account (before balancing) are both entered in the Trial Balance. This gives four columns — Total Dr., Total Cr., Balance Dr., Balance Cr. — but is rarely used in practice.
